Tasks

View as Markdown

Tasks are to-dos for a customer. You see them under Projects › Tasks (all customers), on a customer’s page (one customer), and inside playbooks.

There are two task types, which you can filter on:

  • Customer Tasks: tasks you create yourself.
  • Playbook Tasks: tasks a playbook creates for you.

Projects › Tasks opens on My Tasks: tasks assigned to you. Switch between Ongoing and Completed, search with Search tasks, or open Filter to filter by Assigned CSM, Due date from / until, Start date from / until (“Tasks starting in this range”), Priority and Type. Tasks past their due date are marked Overdue.

  1. Click Create Task. (In a playbook, use Add task in the stage instead.)
  2. Fill in:
    • Customer: already filled in on a customer’s page.
    • Task Name and Description.
    • Start date: a date, or turn on Starts upon creation to start it now.
    • Due date. The start date can’t be after the due date.
    • Priority: High, Medium or Low.
    • Assignee: a colleague. In a shared playbook you can also pick a customer contact on the playbook’s team.
  3. Click Create.

Open the menu on a task:

  • Manage opens the task. Change what you need and click Save changes.
  • Mark as Completed completes it. You’re asked to Add a short completion note (“This helps your team to track progress and impact”): click Add comment to save it, or No comment to skip.
  • Delete removes the task after you confirm.

You can also click Mark as complete inside the open task.

  • Task Assigned: the assignee is notified when a task is assigned to them.
  • Task Approaches Due Date: the assignee is reminded one day before the due date. If you change the due date, the reminder moves with it. Completing the task cancels it.

Each person chooses whether these arrive by email, in the bell, or not at all, in Notification settings.

If your CRM is connected, its tasks are synced into CustomerCatalyst. The sync only reads from your CRM: changes made here are not sent back, and the next sync can overwrite them. Change synced tasks in your CRM. See HubSpot.
